A lot of people get overwhelmed with all the things they have to do daily.  This can be hard at times because we only have a limited time within the day to do everything. 24hours exactly, sometimes may not be enough time to get everything they need to do done. But some people can get everything done within those 24hours but how comes?  This is because they have excellent Time management. Having an effective time management strategies is key.

Don’t get me wrong; these people are not born with this productivity skill such as time management. They learn and develop these skill over time from the experiences that they have gained. It has most likely become a set habit for them which has had a positive impact on the way they live. You can learn and develop these skills too.

This post will help you with effective time management strategies to help you do better and manage your time.

What is Time management?

Time management is the ability to use your time to effectively or productively when working on something, such as work, or a new project.

Why do we need time management?

Managing your time effectively is essential and is very crucial because time management is the key to success. It allows you to take control of your life rather than just going with the flow. You will feel everything you accomplish while making more sound decision and being more control of your life is when your time management skills are excellent.

When practised well, proper time management can help you achieve many things in both a short and long period — enabling you to handle any stress that comes your way. It’s not about hard work – its more about how smart you are working.

Have you ever wondered how to manage time wisely? Well, I am gonna get into more detail in just a bit. These Effective time management strategies will help with managing those poor time management skills.

Effective time management Strategies

Have a clear focus to start your day

You have to start your day with a clear focus on what you want to do today. Achieving all of those activities that you wish to accomplish will help you have a better day.

Setting a clear focus for your day might require you to take minutes out of your day to get what you need to do set out, instead of waiting several hours wasted on trying to get focused.

You can do this by setting clear priorities because I know somethings may seem overwhelming. Dividing your to-do list into chunks will help you order your tasks by how important, and the urgencies in the need to accomplish them.

You need to distinguish what is essential on your to-do list. Use the Eisenhower matrix as it’s a productivity tool with a clear focus of organising your tasks into categories:

  • Important and urgent – tasks you must do first
  • Important but not critical – tasks you can schedule for later
  • Not important but urgent – delegate these tasks if possible
  • Not important but not urgent – the task can be skipped if fall in this category.

Focus on one task at a time

While multitasking is praise but it does more harm than good at the time. So instead of trying to do everything at once, why not just try to focus on one task at a time and complete it then move on to another task.

This way is the best as it allows you to refocus and rest between tasks, allowing the transition between tasks to be smooth and get your brain ready for the next set task you have for yourself.

Remove an interruptions

The more time you are uninterrupted during the day, the more time you get to work on essential tasks. This way, you effectively help you manage your time.

So do what is best and identify the activities that take up most of your time and disrupts your work. Find your solutions to that. Not getting distracted is one of the essential skills for better time management.

Once Identifying those tasks that get your distracted, break the flow of getting distracted by those activities. This show you have discipline yourself to work on that task until it’s completed.

Stop procrastinating

If you find it hard to focus and tend to start procrastinating, it may benefit you to create deadlines for yourself. It’s useful that you complete all unpleasant tasks earlier in the day to allow yourself small rewards once you completed them.

Learn to say no to things

You have to know your limits with the amount of work you have to do and timeframe you have to finish it in. That’s very important because you are unable to deliver whatever you’ve committed yourself too. It also avoids work-related stress and eventually feeling burnt out.

Saying no to friends when they ask you to go out, even managers when your workload is too much is okay because it shows prioritisation of what is more important.

There are many ways to do this politely and emphatically:

  • Give a reason – A clear explanation of the other important things you’re are currently doing at the moment and how taking on new ones may affect that, especially at work.
  • Prioritise yourself – if you have a lot going on your plate and you need to focus on that. Make sure you prioritise those things for yourself and get them done before anything else.
  • Don’t lie – don’t make up any excuses because it doesn’t help ever. Be transparent and open about why you can do something at that moment.

At this point, you always have to acknowledge that time management is just about your work. Its also about balancing your work and your life. This is what will keep you healthy and happy. Make sure you leave time for you to rest, relax and socialise.

So make sure when you clock off from work, try and make sure you have time to be alone with your thoughts and time to chill with your loved ones.

 Plan Ahead

Planning ahead is one of the most effective time management strategies. If you plan ahead weeks before you actually plan to do it, then you know what you will be working on beforehand.

It always you to know what you need to do to get your day or week done. Allowing you to stay organised and focused. You can plan and break tasks across days, in advance to know how much time you will actually need to complete the task.

Try to avoid perfection

Perfection can be your worst enemy because you will over analysing every step of the task. It doesn’t mean you care less about your task, it just means you are giving your best.

Your task doesn’t need to be completed straight away and to the highest standard. Everything can be a work in progress, it will never be perfect in one day so keep working on it.

To do list are always important

To do list are amazing to make your time management better. They will legit save your life. You won’t have to worry about the agenda or what you need to do next.

It will keep you focused, and be able to tick off every task within the time frame you have set for it.

Listing your task also allows you to see how you have progressed. It will keep you on track.

    This has been my #1 goal this year to start working towards, in addition to not getting overwhelmed. I love my downtime so much and have been having too much of it and haven’t been managing my time very well. Thanks for sharing!

    Haha definitely needed this. Especially as a blogger time management is so important!! I’ve also learned that being self employed there is always something else we could be doing, So not only do I schedule time to grind, I also schedule an hour or to chill.

    Good tips! I am way more productive when I start my day with a list of the most important tasks to get done first. I love my kids, so I don’t think I can minimize my biggest distractions, haha! 😉
